Backup & Storage Cost Estimator

Backup & Storage Cost Estimator for IT, Operations.

Reviewed 2026-08-27

Methodology and sources

This backup storage cost planning result is derived only from visible user-entered protected-data volume, retention-storage multiplier, storage rate, transfer or restore volume, transfer rate, and fixed provider cost. Every numeric field is a required user entry with no silent default; the required source name and date plus optional URL document the assumptions but are not retrieved or validated by CostSignals. The model supplies no hidden provider price, effective storage ratio, recovery target, retention recommendation, security or compliance result, or vendor selection.

Planning answer

This page answers what the entered inputs produce under the calculator's documented assumptions. It does not answer what a local provider will charge, approve, diagnose, finance, or guarantee.

Use the result to compare like-for-like scenarios, then replace placeholders with current project records, bids, supplier quotes, authority requirements, or qualified professional review before acting.

Formula in plain English

The calculator multiplies entered protected-data volume by the entered retention-storage multiplier and entered storage rate per GB-month to estimate monthly storage cost. It separately multiplies entered monthly transfer or restore GB by the entered transfer rate per GB. Total monthly cost adds those two components and the entered fixed provider monthly cost. Retention period and backup frequency are required context fields but are not referenced by the current formulas; provider is a neutral multiplier-1 presentation selector. Deprecated churnedMrr, netMrrChange, and projectedMrr outputs repeat storage cost, transfer cost, and total monthly cost and do not add an MRR model.

Visible assumptions

  • All eight numeric fields are required user-entered scenario assumptions with no default. Provider alone starts at the neutral user-selected option with multiplier 1.
  • Storage rate per GB-month, transfer rate per GB, and fixed provider monthly cost require source-dated user values; CostSignals supplies no rate or fixed fee.
  • A nonblank assumption source name and YYYY-MM-DD source date are required. The source URL is optional, and CostSignals does not fetch, validate, update, or endorse any of the three provenance fields.
  • Retention period and backups per month document scenario context but do not change the current arithmetic. The retention-storage multiplier is the only entered adjustment applied to protected-data volume.
  • The generated compatibility baseCosts values are not referenced by any backup-storage output formula and do not affect the result.

Worked example

Example user-entered backup storage cost scenario

  • Protected data volume: 1,000 GB
  • Retention period: 12 months
  • Backups per month: 30
  • Entered retention-storage multiplier: 2
  • Entered storage rate: $0.02 per GB-month
  • Entered monthly transfer or restore volume: 100 GB
  • Entered transfer rate: $0.05 per GB
  • Entered fixed provider monthly cost: $10
  • Documented assumption source name and date: Example storage worksheet, 2026-08-27

Storage cost = 1,000 GB x 2 x $0.02 = $40. Transfer cost = 100 GB x $0.05 = $5. Total monthly cost = $40 + $5 + $10 = $55. The retention period and backup frequency remain documented context and do not change this arithmetic.

The modeled planning result is $40 monthly storage cost, $5 monthly transfer cost, and $55 total monthly cost for these entered assumptions; it is not a provider quote, recovery assessment, or service recommendation.

Limitations

  • The retention-storage multiplier is a user assumption, not a measured deduplication, compression, versioning, snapshot, incremental-backup, or data-growth result.
  • The model omits every unentered charge, including minimum storage duration, early deletion, retrieval class, request or operation counts, API calls, replication, cross-region or cross-cloud transfer, appliances, licenses, support, taxes, discounts, and currency conversion.
  • Entered transfer or restore volume and rate do not distinguish upload, download, restore, retrieval, regional, internet-egress, tier, or free-allowance rules unless the user has reconciled them into the entered assumptions.
  • Retention period and backup frequency do not affect current outputs and must not be interpreted as a validated retention schedule, backup design, recovery-point objective, or recovery-time objective.
  • Provider selection does not evaluate service suitability, durability, availability, immutability, encryption, access control, restoration success, contractual terms, data residency, or compliance.
  • Deprecated MRR-named outputs are aliases for the three documented cost outputs; they are not revenue, churn, growth, or recurring-revenue projections.
  • NIST and CISA sources support storage-security, backup, recovery, contingency, and testing context only; they do not support an entered price, provider choice, architecture, retention policy, recovery result, or modeled cost.
  • The result is not a quote, current market benchmark, architecture decision, retention recommendation, security or compliance finding, provider endorsement, recovery guarantee, or realized-savings estimate.

Practical next steps

  1. Inventory protected data, effective retained copies, versioning, growth, retention, backup cadence, expected restores, regions, transfer directions, retrieval classes, operations, support, appliances, and every fixed charge before comparing scenarios.
  2. Record the exact provider document, quote, contract, currency, billing unit, tier, minimum, allowance, discount, tax treatment, and access date behind every entered monetary assumption.
  3. Test backup availability and restoration separately, and review recovery objectives, security, immutability, encryption, access, data residency, compliance, and operational ownership before selecting a service.

Backup & Storage Cost Estimator FAQs

Treat the result as a planning scenario calculated from the values you enter and the configured formula. It is not a vendor quote, market comparison, or promise of price, scope, timing, or outcome.
Confirm scope, units, volumes, service levels, fees, and contract terms against your requirements and itemized vendor materials. Keep the same definitions when comparing scenarios.
Request a dated written quote that identifies licensing, implementation, support, usage, renewal, taxes, and exclusions. Enter comparable values into the calculator and resolve material differences with the vendor.

Publish your own calculator

Create a hosted calculator draft and submit it for review. Publication, traffic, leads, and revenue are not guaranteed.

For Creators

CostSignals results are planning estimates based on the values you enter and the calculator’s configured assumptions. Verify current rates, rules, project scope, and quotes independently before making decisions.
